Terms and Conditions

The event in general is insured by Rotary. All persons riding a bike are considered to be participating in a sporting activity, therefore are excluded under the Rotary policy and must have separate insurance to cover them “when riding a bike”.

You, or your child, must at the time of the event be insured with an organisation such as Bicycle NSW, (Policy details and Bicycle NSW membership can be found here – https://bicyclensw.org.au/insurance/) OR you can purchase a day licence with Bicycle NSW when you register on our booking platform – Eventbrite.

Safety

You will need to complete an online safety induction briefing and/or attend a safety briefing at CSU rafters bar at 12 pm Saturday 11th May 24 when you confirm your attendance.

On course etiquette and rules:
We don’t want anyone injured or feeling stressed.

  • Minimize bunching up. Keep a safe distance as the course changes frequently
  • There will be warning signs and instructions such as:
    • SINGLE FILE – single is simple, sometimes slow and means strictly no overtaking. If you do, you could be removed from the course. Reason – we want slower riders to feel safe on narrow sections 🙂
    • SLOW – indicates a riskier section of the course, could be rough, slippery, or have an obstacle. Again the reason is slower, less experienced riders need to feel safe.
    • PASSING must be done safely on a section of the course that is more than 2.4 m wide (that’s 8 ft for the oldies or the Brits) always call out ‘passing’
  • The Start will be in small waves with those who have high lap aims going first. We need to course to be spread out with no big bunches.
  • Be aware of your ability, your fatigue, and pay special attention to keep a straight line and expect to passed on the right. But always be aware of what is on your left also.

Bathurst Rotary Gravel - Terms and Conditions of Entry

By registering to participate in the Bathurst Rotary Gravel Ride 2024 you accept and agree to be bound by these Terms and Conditions of Entry in respect of yourself, and any other persons, including any minors or children who you register.

The Bathurst Rotary Gravel Ride 2024 is organised by The Rotary Club of Bathurst Inc. (the “Event Organiser”)

Personal Responsibility
You are responsible for all personal property you bring onto the ride course, area and sites and understand that the Event Organiser does not accept any responsibility whatsoever for any loss, damage or harm caused to your personal property and chattels whether caused by negligence or otherwise.

The Event Organiser recommends that your bicycle is checked and serviced by a bicycle mechanic prior to using it in the Event.

If, during the Event, you become ill or are injured, the Event Organiser will endeavour to arrange medical transport, usually in an ambulance, but will not take responsibility for such transport being available nor the care provided. Any medical transport costs must be met by you.

You are responsible for ensuring that you have adequately and appropriately prepared both physically and mentally for the Event and have the appropriate equipment and clothing to do so. If you have any current or past health issues or doubts prior to the Event, the Event Organiser recommends that you seek appropriate medical advice before participating in the Event.

Safety, Risk & Liability
• You understand and accept the risk associated with cycling.
• For all persons under 18 the parent/legal guardian must assess the competency of the rider before and during the event and take appropriate action to ensure the riders safety if required.
• A briefing will be given to all participants prior to the start of The One Hour to advise of any specific course conditions or alterations to the event. All riders must be present for the start briefing. There will not be a separate briefing prior to #bathurstgravel.
• All participants must abide by the NSW road rules where applicable on the course and obey any directions from NSW Police, Traffic Management personnel, Event Volunteers and Event Staff.
• Whilst riding, all participants must wear a cycling helmet that complies with the Australian Standard and cycling appropriate closed toe shoes.
• Whilst riding in the event you must not wear earphones or headphones.
• Event Organisers reserve the right to alter the advertised course if conditions warrant.
• Event Organisers reserve the right to void any entry and/or disqualify any entrant who breaks the event rules or brings the event into disrepute.

Rotary General Release and Indemnity
By entering and paying for a ticket in the Bathurst Rotary Gravel events you acknowledge that you have read this indemnity, provided contact details (name, phone number and email address) to whom it may concern and have committed to the undertaking as if you have physically signed the form as an entrant and/or as a parent/legal guardian.

The Rotary Club of Bathurst Inc. (“Rotary”) Bathurst Cycling Festival incorporating Bathurst Rotary Gravel: Together for Life ride; The ONE HOUR ride; and #bathurstgravel ride, cycling events.
1. You are aware and acknowledge that cycling involves inherent risks, including the risk of injury to life or death and damage to property and in undertaking such activities, you do so at your own risk.
2. You are also aware that it is a condition of participation in Together for Life ride, The ONE HOUR ride, and #bathurstgravel ride, cycling events (“Event”) that Rotary, its officers and employees, agents and volunteers are released by you from all liability howsoever arising from injury or damage to both property and person howsoever caused (whether fatal or otherwise) arising out of your participation in the Event whether or not such injury or damage is due to any negligent act, breach of duty, default and/or omission on the part of Rotary, its officers and employees, agents or volunteers.
3. You indemnify Rotary, its officers and employees, agents and volunteers against all loss, damage and expenses (including legal costs of a solicitor and own client basis) arising out of or in connection with any claims, actions, proceedings or demands of any kind arising directly or indirectly as a consequence of your participation in the Event.
4. You acknowledge and agree that your participation in the Event is as a consequence of your own free will and desire and that you have read and understood the above warning, release and indemnity.
5. You warrant that you are 18 years of age or older and are lawfully able to enter into this release and indemnity and if you have entered a participant who is a minor you, are the legal guardian and consent to them participating in the Event.

Insurance
All event participants must be covered by valid Riders Insurance (e.g., via a AusCycling membership, Bicycle NSW membership or alternative). If you are uninsured, you must purchase insurance cover (provided via Bicycle NSW’s insurance arrangements) when entering the Event. Age Limitations
The minimum ages to participate in the Events are;
• Together for Life ride; Between 2 and 13 years of age.
• The ONE HOUR ride; 14 years of age and above.
• #bathurstgravel ride: 14 years of age and above.

Bike Requirements
Your bike must be mechanically and legally suitable for riding on gravel and open roads. eBikes are permitted to enter the ONE HOUR and #bathurstgravel. They must comply with NSW regulations. TT (Time Trial) bars and Aero bars are not permitted as they would be impractical on this course.

Rider Cancellation
Cancellation requests must be received 2 weeks prior to the event day (prior to April 27th, 2024) at the email or postal address below.

Event Cancellation
The event could be modified or cancelled if the Bureau of Meteorology predicts;
• Continuous rain greater than 20mm/h.
• Winds greater than 45km/hr.
• Temperatures above 35 Degrees Celsius.
• Lightning on course at any stage of the event.
If any of the above conditions are experienced in the lead up or during the event, a decision will be made by Event officials in conjunction with key stakeholders. All participants will be notified by text message.

Refunds / No Refunds
Credit card and Eventbrite fees and any associated travel costs are not refundable by the Event Organisers.
Should the Event be cancelled, all riders will be eligible to request a refund or take an option to transfer to a postponed date or next year’s event.

Time Limitations
Event time maximums are;
• Together for Life ride; Maximum 45 minutes.
• The ONE HOUR ride; Maximum one hour on course.
• #bathurstgravel ride: Maximum one and a half hours plus time needed to finish the lap you are on. Maximum expected 2 hours.

Photography
By participating in the Event and agreeing to these Terms and Conditions of Entry, you consent to the taking of images or video footage of you or your child during or at the Event by the Event Organiser or its authorised agents and authorise the use of such images or video footage of you or your child by the Event Organiser, its authorised agents and its sponsors in all forms of media without any further approval or compensation. However, the Event Organiser will not disclose any identifying information without your express consent.

Privacy / Data Collection
The Event Owner collects your personal information so that you can enter the Event. You can gain access to, or seek correction of, your personal information on request to the Event Owner. We may use or disclose your personal information for any purposes relating to the administration or facilitation of the Event. For example, we may disclose your name on our website in relation to the Event. If you do not provide your personal information, we will be unable to enter you in the Event. Where registering on behalf of others, you acknowledge that you have made them aware of these Terms and Conditions of Entry, and that your acceptance of these Terms and Conditions is provided for yourself and on behalf of all other Participants that you have registered.
